# Bulk actions on invoices and estimates

Select several invoices or estimates to send, mark, download or delete them in one go.

### Select documents

- **Web:** tick the boxes on the **Invoices** or **Estimates** list. The bulk bar appears.
- **App:** tap **Select**, or hold a row and tap **Select multiple invoices**. **Select all** only picks rows already loaded, so scroll down first to include more.

### What you can do

**Send.** Each document is emailed to its own contacts with your default email text. You can't add a message per invoice. Void invoices can't be sent. If you selected any, you'll see "Voided invoices can't be sent:" with their numbers. Deselect them and try again.

**Mark as sent.** The status changes to Sent without emailing anyone. Paid invoices are skipped. Void invoices can't be marked as sent, so deselect them first.

**Download PDF's (app: Export → Export as PDF).** You get one ZIP file with a PDF for each document. It's prepared in the background:

- On the website, a "… is ready." message appears with a **Download** button. You also get an email with a download link.
- In the app, wait on the list or look for **Export ready** in **Updates**.

Download links work for 7 days, only for the person who started the export, and only while the same company is selected.

**Download CSV (app: Export → Export as CSV).** One spreadsheet with number, status, dates, customer, job description, total and amount due.

**Delete.** Deleted documents can't be restored. Invoices with recorded payments can't be deleted. Void them instead. In the app, you have 4 seconds to tap **Undo** after deleting invoices.

### Who can do what

- Owners and managers: everything.
- Team members: **Send** and **Mark as sent** only.

### FAQ

**I clicked Download PDF's but nothing downloaded.** The ZIP is being prepared. Wait for the **Download** message, or use the link in your email.

**My download link says it has expired.** Links last 7 days. Select the documents again and export.

**Some invoices weren't sent.** You'll see their numbers in the message. Check that each has an active contact with an email address.

**Is there a limit on how many I can select?** No. Large PDF downloads just take a little longer to prepare.
