# How invoice reminders work

Reminders are automatic emails that nudge your customer before and after an invoice is due. You set them up once, and they apply to new invoices.

### Turn reminders on and set them up

1. **Web:** Sidebar → **Invoicing** → **Reminders**. **App:** **Menu** → **All modules** → **Reminders**.
2. Click **Turn on reminders**.
3. On each reminder, use the **Active** switch to choose whether it's ticked on new invoices.
4. To change one, click **Edit**. Set **Days**, **Relate** (**Before**, **On** or **After**) and **Invoice date field**. Choose **Due Date**. Edit the **Subject** and **Message**, then click **Save**.

There are always five reminders. By default they go 7 days before the due date, on the due date, and 7, 14 and 30 days after.

### Choose reminders for one invoice

1. Open the invoice in the editor.
2. In **Reminders**, tick or untick each one.
3. Save. After saving, each ticked reminder shows **Pending** or **Sent** on the invoice.

### When a reminder is sent

All of these must be true:

- Reminders are turned on, and the reminder is ticked on that invoice.
- The invoice isn't a draft. Drafts never get reminders.
- Money is still owed. Paid and void invoices are skipped. Partly paid invoices still get reminders.
- The customer has a working email address.

### Good to know

- Reminder timing is set when you save the invoice. A reminder whose date has already passed is skipped.
- The reminder email has a **View invoice and pay now** button. The PDF isn't attached.
- Messages can't contain web links.
- Reminders go out on their scheduled date. You can't choose the time of day.

### FAQ

**My customer got a reminder for an invoice they'd paid.** Reminders stop once the invoice is **Paid** in InvoiceQuick. Record the payment as soon as it arrives. See *Record a payment and send a receipt*. In the app, **Send reminder** emails the invoice again, even if it's paid.

**I turned reminders off, but they came back on.** Starting a trial, subscribing again after your plan ended, or subscribing in the iPhone or Android app turns them back on. Click **Turn off reminders** again on the Reminders page.

**My reminders aren't going out.** Check that **Turn off reminders** shows on the Reminders page (meaning they're on), that the invoice isn't a draft, and that the reminder is ticked on the invoice.

**Can I add a sixth reminder?** No, but you can reword and re-time the five.
