# Record a payment and send a receipt

Record money you received by cash, bank transfer, check or any other way. The invoice updates to **Partial paid** or **Paid** automatically.

### Record a payment (web)

1. Open the invoice and click **Add payment**. (Or go to **Transactions** → **Payments** → **Add new** and pick the customer and invoice.)
2. Enter the **Payment amount**, or click **Full** or **Half**.
3. Set the payment date and **Payment method**. For **Other**, type the method name.
4. Optional: add a note under **Internal payment notes**. Only your team can see it. It never appears on the receipt.
5. Optional: tick **Send receipt**. **Receipt goes to:** shows who will get it.
6. Save. You'll see "Transaction successfully saved."

### Record a payment (app)

1. Open the invoice and tap **Add payment**.
2. Enter **Amount received**, or tap **Full** or **Half**.
3. Choose a **Payment method** and **Payment date**.
4. Optional: tap **Add an internal note**. It's only visible to your team.
5. Optional: switch on **Email receipt to customer**.
6. Tap **Confirm payment**.

### Send a receipt later

- **Web:** Open the paid invoice and click **Send receipt**, or use **Send receipt** on the payment in **Transactions** → **Payments**.
- **App:** Open the invoice and tap **Send receipt**. Or go to **Menu** → **All modules** → **Money** → **Payments received**, hold the payment and tap **Send receipt**.

Enter or check the email address, then send. Your customer gets a PDF receipt.

### Good to know

- You can't record more than the amount still due.
- Card payments through Stripe are recorded and receipted automatically.
- **Send receipt** is off by default.
- Owners and managers can record payments.
- To fix a mistake, edit or delete the payment in **Transactions** → **Payments**. The invoice status updates.
- There's no refund button. Refund in Stripe or PayPal, then delete the payment here.

### FAQ

**Can I record a payment without an invoice, like a deposit?** No. Every payment belongs to an invoice.

**My customer paid by PayPal.** See *PayPal payments: confirm or dismiss a reported payment*.

**Can I mark an invoice paid without entering an amount?** Click **Full** (web) or tap **Full** (app). It fills in the amount still due.
