Bill expenses to a customer
Paid for something on a customer's behalf? Mark the expense as billable, then add it to their invoice.
1. Mark the expense as billable
When you add or edit an expense:
- Website: use Assign customer to this expense and pick the customer.
- App: use Billable to customer (optional).
Save the expense.
2. Add it to an invoice (website)
- Create or edit an invoice for that customer.
- You'll see Customer has N expenses. Open it to see Expenses assigned to customer.
- Click Add next to the expense.
- Save the invoice.
The expense is added as a line on the invoice: its name, its notes as the description, and the full amount, with quantity 1. No tax or discount is added, so add tax on the line if you charge it.
See what's been billed
On Transactions → Expenses, the Invoice column shows which invoice (or invoices) an expense was billed on.
Good to know
- Adding expenses to an invoice is on the website. In the app you can mark an expense billable, and see the line on the invoice, but not add, edit or remove it.
- The line is a copy. If you edit the expense later, change the line on the invoice too. Deleting the expense keeps the line.
- An expense can be added more than once. Check the Invoice column on Transactions → Expenses before you add it, so you don't bill it twice.
- Billable expenses also appear in the customer page's Expenses tab and summary.
FAQ
I don't see "Customer has N expenses". Check the expense is assigned to the same customer, and that you're on the website.
Can I bill an expense from the app? Mark it billable in the app, then add it to the invoice on the website.
