Default payment terms and notes
Save the payment terms and notes you use most, and they're ready on every new invoice. You choose on each invoice whether to print them.
Set your defaults
- Web: Settings → Invoice → Notes and terms. App: Menu → All modules → Invoice branding.
- Type your Default payment terms, for example "Payment due within 14 days by bank transfer."
- Type your Default customer notes (app: Default client notes), for example "Thank you for your business!"
- Click Save (app: Save settings). You'll see "Settings updated."
Show them on an invoice
New invoices are pre-filled with your defaults, but both are switched off until you turn them on.
- Create or edit the invoice.
- Switch on Payment terms and/or Client notes.
- Change the text for this invoice if you like, then save.
Only switched-on sections print on the invoice. Estimates and recurring invoices work the same way.
Good to know
- Each field holds up to 65,535 characters.
- Changing your defaults doesn't change invoices you've already created, including drafts.
- Web addresses aren't allowed in terms or notes, for example "www.", "http" or "yourname.com". A plain email address is fine.
- Only company owners and managers can change these settings.
FAQ
My payment terms don't show on my invoice. Edit the invoice, switch on Payment terms and save.
The field turns red when I save my settings. The text contains something that looks like a web address, such as "www." or a full stop with no space after it ("business.Today"). Fix it and save again. Until you do, nothing else on the page saves either. To share a link, send it in your own email.
Can I use different terms for one customer? Yes. Edit the text on that customer's invoice. Your default stays the same.
