Edit or delete a payment, and refunds
Fix a payment you recorded by mistake, or remove one after a refund. The invoice status updates by itself.
Edit a payment
- Web: go to Transactions → Payments. App: Menu → All modules → Money → Payments received.
- Open the payment's actions and choose Edit (app: hold the payment → Edit).
- Change the amount, date, method or note.
- Save.
The amount can't be more than what's still due plus this payment.
Delete a payment
- Find the payment in the same list.
- Choose Delete and confirm.
Deleting is immediate. There's no archive. To delete several, select them and use bulk Delete.
After you delete or change a payment, the invoice goes back to Paid, Partial paid or its earlier status (such as Sent or Viewed).
Refunds
InvoiceQuick doesn't move money back. To refund a customer:
- Refund them where they paid: in Stripe, PayPal or your bank.
- Delete the payment in InvoiceQuick so your records match.
Deleting a payment doesn't refund anyone, and your customer isn't told.
Good to know
- Owners and managers record, edit and delete payments.
- Payment notes are only for your team. Customers never see them.
- Every change shows in the invoice's activity log.
Payment methods you can pick
When you record a payment, choose how you were paid: CASH, Bank, Check, Debit, Credit Card, PayPal, Stripe, External, Trade, Wise, Revolut, Payoneer, Zelle, Venmo, Bank ACH Transfer, Bank SEPA Transfer, Wire Transfer, Interac or Other. For Other, type the method name.
FAQ
I recorded the payment on the wrong invoice. Delete it, then record it again on the right invoice.
Can I record one payment for several invoices? No. Each payment belongs to one invoice, so record the right amount on each invoice.
Can I delete an invoice that has payments? No. Delete its payments first, or void the invoice instead.
