Import customers, products, expenses, vendors or deals

Move your data into InvoiceQuick from a spreadsheet. Imports are on the website only.

Import a file

  1. Click your name (top right) → Import-Export.
  2. Under Imports, click Import on the card you need: customers, items, expenses, vendors or (with the CRM) deals.
  3. Download the sample file if you want to see the format.
  4. Drop your file in, or choose it. Use .csv, .txt, .xls or .xlsx, up to 2 MB. The first row must be column headers.
  5. To update records you already have, tick the update box (for example "Update existing Customer using 'Customer name' field.").
  6. Click Continue, then match each Field in InvoiceQuick to a Field in your file.
  7. Click Start import.

The import runs in the background. You'll get an email, "{Type} import finished.", with how many records were created and updated, and how many rows couldn't be imported. The page also keeps an import history.

What to know per type

  • Customers: matched by exact name. Country must be the English name. Currency isn't imported; new customers get your default currency.
  • Items: "task" or "service" in the type column makes a service; anything else a product. An unknown tax name creates a new tax at 0%, so set its rate afterwards under Accounting → Tax presets. An unknown account creates a new income account.
  • Expenses: write dates as YYYY-MM-DD, for example 2026-10-23. An unknown account creates a new expense account. Payment method and customer must match exactly, or they're left blank. Rows without a name are skipped.
  • Vendors: matched by company name.
  • Deals: pick a Pipeline and a default stage. Customers that don't exist are created, so check spelling.

Good to know

  • Stay in the same company until the email arrives.
  • Only match columns your file actually has.
  • Owners and managers can import.

FAQ

I didn't get an email. Check the import history. If nothing is there, check every column you matched exists in your file, then import it again without switching company.

"File is bigger than 2MB." Split the file into smaller files.

Some rows weren't imported. Check those rows have a name, then import them again.
