Invoice statuses explained

Every invoice has a status that shows where it is, from Draft to Paid. It changes on its own as you send the invoice and your customer opens and pays it.

Where to see it

  • Web: Sidebar → Invoicing → Invoices. The status is on each row. To narrow the list, use the Status filter.
  • App: Invoices tab. Use the All / Draft / Open / Overdue pills. To see paid invoices, tap Filters → Status → Paid.

What each status means

Status What it means
Draft Saved but not sent. Saving never emails your customer.
Scheduled You chose Send later. It goes out at the time you set.
Sent The email went out, or you used Mark as sent.
Viewed Your customer opened the invoice link. Your own views don't count.
Downloaded Your customer downloaded the PDF.
Partial paid (app: Partial) Some payments are recorded, but money is still owed.
Paid Payments cover the full total.
Past Due (app: Overdue) The due date has passed and money is still owed.
Void Cancelled. It shows a total of 0 and is left out of your totals.

Good to know

  • A Draft never becomes past due and never gets reminders.
  • Recording a payment changes the status to Partial paid or Paid. Deleting the payment moves it back.
  • In the app list, overdue amounts show in red while the row keeps its chip (for example, Viewed).
  • Editing a sent invoice does not send it again.

FAQ

My invoice says Sent, but my client says they didn't get it. Open the invoice and check its activity. See Email delivery: tracking, bounces and spam reports.

How do I mark an invoice as paid? Record the payment. See Record a payment and send a receipt.

I marked an invoice as sent by mistake. On the web, open it and click Undo mark as sent. In the app, tap Undo on the message that appears. You can undo until your customer views, downloads or pays it.

Why did an invoice turn Past Due a day early (or late)? An invoice turns Past Due once its due date has fully passed in your time zone. The website takes your time zone from your computer each time you open it, so make sure your computer's time zone is right.
