Recurring expenses and vendors

Recurring expenses

Add the same expense automatically, such as rent or a software subscription.

Set one up:

  1. Start a new expense (see Add and manage expenses) and switch on Recurring expense.
  2. When should we add the first expense? Choose Add it now or Add on specific date.
  3. What is the add frequency? From Daily to 3 Years. Monthly is the default.
  4. How many times should we add this expense? Enter a number or choose Infinite.
  5. Save (app: Create recurring expense).

Each run adds a new expense dated that day, with the same attachments.

Find them: Transactions → Recurring expenses (app: Menu → All modules → Money → Recurring expenses). Each shows Active or Paused.

Good to know:

  • You can't change the start date after creating a schedule, or turn an existing expense into a recurring one. Create a new recurring expense instead.
  • If your plan lapses when a run is due, the schedule shows Paused and nothing is added. It doesn't start again when you renew. Create a new recurring expense with the same details.
  • To stop a schedule, archive it.

Vendors

Vendors are the people and businesses you buy from.

Add a vendor:

  1. Transactions → Vendors → New vendor (app: Create → Vendor).
  2. Enter the Company name. Everything else is optional: address, phone, website, contact name, email, note and files.
  3. Save.

Pick the vendor when you add an expense. You can also create one on the spot.

On the website, open a vendor to see their details, files, notes and Expense total.

Remove a vendor: Archive it first, then Restore or Delete it for good. Deleting also removes its files. In the app, restore and delete are in bulk from the Archived view.

FAQ

Can I pause a recurring expense? Not at the moment. Archive it to stop it, and create a new one later.

Can I import vendors? Yes, on the website (see Import customers, products, expenses, vendors or deals).
