Set up recurring invoices

A recurring invoice creates and emails a new invoice to your customer on a schedule, such as every month, until you stop it.

Create a recurring invoice (web)

  1. Go to Invoicing → Recurring invoices → Add new, and pick the customer. Or, to reuse an existing invoice, open it and choose Convert to recurring.
  2. Fill in the invoice as usual: job description, items, notes and Accepted payments.
  3. Set Payment due (for example, 15 or 30 days).
  4. Under When should we send the first invoice?, choose Send it now or Send on specific date.
  5. Choose What is the send frequency? (Monthly is the default).
  6. Under How many times should we send this invoice?, leave Infinite on, or switch it off and enter a number.
  7. Click Edit email settings to check recipients, subject and message.
  8. Click Activate & Send (sends now) or Activate & Schedule (sends on your date).

Create a recurring invoice (app)

  1. Tap Create (+) → New recurring invoice. Or open an invoice → More actions → Convert to recurring.
  2. Fill in the invoice and Payment due.
  3. In Recurring schedule, choose First invoice (Send now or On a date), Frequency, and Send indefinitely or Number of invoices.
  4. Check Email settings, then tap Activate & Schedule.

What happens each time

  • A new invoice is created with the next number and emailed straight away. There's no draft step.
  • You get a notification: "Recurring profile generated Invoice #N."
  • Your company's invoice reminders apply to it.
  • If your customer chose Use this card to pay future invoices automatically when paying by card, their card is charged.

Good to know

  • Frequencies: daily, weekly, every 2 or 4 weeks, monthly, every 2, 3 or 6 months, yearly, every 2 or 3 years.
  • Start dates can't be in the past.
  • Invoices go out on their scheduled date. You can't choose the time of day.
  • To stop automatic card payments, untick card payment under Accepted payments.
  • Recurring invoices can't have attachments or late fees.
  • Changing Settings → Email templates → Recurring invoice later doesn't change recurring invoices you already set up. Edit each one's email settings.

FAQ

I clicked "Send it now" and it emailed my customer right away. That's expected. To prepare one without sending, choose Send on specific date.

How do I stop it? See Pause, re-activate or stop a recurring invoice.
